Clocking In / Out Function - TCP

Clerk Sign in and shifts.

Within Total Control Premier you can set clerks to have shifts which can later be reported on in. These shifts must initially be setup; we can find this under POS Specifics ”Gpos Clerk Shifts”. Here we would add a shift name, shift ID and a “Stdshiftperiodinhours” which is an expected shift by hour. As shown below:



These shifts once updated must then be set against the clerk; under the POS Options. Here we would put the ID of the shift in the column Clerk Shift 1, 2 etc could use it as reference.

 The next setup must be on the touchscreen layout, add the button for the “clerkshiftIO” (found under the system keys) to any screen of which you would want the clerk sign in to occur; we recommend if you have a clerk sign on page or a screen that clerks see when they first swipe a card, then to put this option there.

If you clock off on one till you must clock off on the same till, otherwise it will clock you in on another till.

The clerk must sign in first and then press the “clerkshiftio” button, this will present a clerk shift option to them of which they select the shift they are assigned; like below:


Once you select the shift it signs the clerk off but the system recognises them as clocked in, this will feed a report through to total control with the date and time of when that clerk signed in and how long for so far.

To clock out again, simply sign in and press the “clerkshiftio” which will sign you off and clock you out.

Should you have a clerk server setup then you can allow gpos to automatically sign a clerk off by looking at the clerk shift records. Please see system option 427 which regards this.

This system option when set will look through clerk records at that time and should it find any clerk who has gone over the intended shift it will clock them out automatically, but only to the times they were meant to work. An example of such is setting the clerk shift time to 20:00pm, gpos will look in the shift records to see if any clerks are working over the assigned shift hours and clock them out.

This option must only be set on the clerk server itself and all clock in and clock outs must happen on the assigned till and no others.

In total control premier you can see reports on a clerk’s performance and their clock in/out. Run a new report under the “New report job wizard” here we would select the “staff (clerk)” option and “time and attendance”; here we can run reports on a clerks time and attendance and a summary of the costs, worked out by the hourly rate set against the clerk.

Select the time and date of the report, the till of which you want to report on (must be the designated clock in/out), and then the clerks you want to report on. As with other reports you can have this scheduled and sent to your email. Please refer to manuals on emailing to yourself through reports, for this feature.
